Helpdesk ticketing vs PSA: when you need which
A helpdesk ticketing system tracks and resolves requests; a professional services automation (PSA) platform also runs the business side of a service company, such as time, contracts, billing and projects. Many MSPs use a PSA, many internal IT teams need only a desk, and some use both.
What each one is for
- Helpdesk ticketing
- The queue where requests arrive, get triaged, assigned, answered and closed. It usually includes a portal or email intake, priorities, SLA targets, notes, canned replies and some automation. Its question is: who needs what, and are we meeting our commitments?
- PSA
- Software for services businesses that bills for their time and projects. It usually bundles ticketing with time entries, service contracts, recurring billing and invoicing, quotes, project plans and often a link to accounting. Its question is: what did we do, for whom, and what do we invoice?
The two overlap on tickets. Many PSA platforms include a ticketing module, and many helpdesks add light time and contract features. The difference is where the product spends most of its design effort.
Side by side
| Need | Ticketing desk | PSA |
|---|---|---|
| Request intake and queue | The core of the product. | Included, usually as one module among many. |
| SLA targets and countdowns | Common. | Common, often tied to contracts. |
| Client portals | Common, with varying branding options. | Common. |
| Time entries | Sometimes, often basic. | Standard. |
| Contracts and recurring billing | Rare. | Standard. |
| Invoicing and accounting link | Rare. | Standard. |
| Projects, quotes and sales pipeline | Rare. | Common. |
| Assets and configuration records | Varies. | Common. |
| Setup effort | Usually hours to days. | Often weeks, because billing, contracts and integrations are configured. |
Who needs which
An internal IT team usually needs a desk
If you support your own employees, nobody is invoiced for tickets, so billing and contract features add cost and setup without adding value. What matters is intake, triage, SLA targets, approvals and a clean history. See ActiveQ for internal IT and choosing a ticketing system.
An MSP often needs a PSA, or a desk plus a billing tool
An MSP bills clients for managed plans, projects and extra hours, so it must record time against contracts and invoice from it. A PSA does that in one product. Some MSPs instead pair a focused ticketing desk with a separate accounting or invoicing tool when billing is simple, for example a flat monthly fee per client. Which is better depends on how complex your contracts are, not on the size of your team alone.
Other service teams
Consultancies, agencies and other service firms that sell hours or projects lean toward a PSA. Teams that only answer requests lean toward a desk.
Questions to decide
- Do you invoice clients for time spent on tickets or projects? If yes, you need a way to record that time and bill for it somewhere.
- Are your contracts a flat fee per client, per user, per device, or a mix with block hours? The more varied, the more a PSA helps.
- Do you run projects with budgets, tasks and milestones, or only a request queue?
- How much setup time can you afford before the first ticket is handled?
- Does the tool need to feed your accounting software, and does it have the connection you need? Ask the vendor.
- Do you need asset and configuration records inside the same tool, or can they live elsewhere?
Using a desk next to a PSA
The two are not exclusive. A team can use a PSA for contracts and billing and a separate desk for its day-to-day queue, when the PSA's ticketing is more than they want. That adds a second system, so check how the two would exchange client records, and whether your billing needs ticket data. ActiveQ has an API and signed webhooks for custom links, and no native prebuilt integrations yet. Zapier (invite-link app) can connect it to other apps, which is not the same as a PSA’s native integrations. For a vendor-by-vendor view, see how ActiveQ compares with a PSA and with an ITSM suite, and read the MSP ticketing software checklist. The glossary has a short definition.
Where ActiveQ sits
ActiveQ is a ticketing desk and client portal, not a PSA. It covers the queue, SLA countdowns, per-client portals and light ITSM, from $79.99 a month for 1 to 3 agents. It does not invoice clients and has no time tracking or contracts. See ActiveQ for MSPs and pricing.
